The University of Pittsburgh welcomes Academic Visitors to its campuses for educational collaboration, observation, personal study, and research activities. We foster an open learning environment where diversity and inclusion are promoted and encouraged. The following visitor guidelines were created to assist visitors, their University hosts, and University administrators by providing important information covering the administrative process for hosting visitors on campus.
Academic Visitors are individuals supported by other academic institutions or companies who receive an official invitation from a University of Pittsburgh host school or department that will allow them to be a guest on our campus for a specified amount of time and for a specific academic or research purpose. In some cases, an Academic Visitor will be unaffiliated with another institution or company, and so will be self-supported. While at the University of Pittsburgh, Academic Visitors will maintain an association with a host faculty member and department that will serve as the intellectual home for the Visitor.
Your Academic Visitors will fall into one of three categories. Please note that for the duration of the Pandemic, or until the University declares a return to normal operating procedures, Category 1 visitors are generally not permitted at the University:
- Category 1: Short-term, non-laboratory visits lasting less than 14 days;
- Category 2: Long-term, non-laboratory visits lasting more than 14 days; or
- Category 3: Visits of any length that involve laboratory or clinically based research
The Visitor Agreement Procedures outline in greater detail the definitions of and review requirements for each category. Graduate student Visitors currently are covered under these guidelines. Undergraduate student Visitors currently are not covered under these guidelines. Undergraduate Visitors who are conducting research are covered by guidance found on the Office of the Provost website.
The University is the official host for all Visitors. Departments and schools inviting the individual will be responsible for the day-to-day oversight of the Visitor, which includes: initiating the invitation letter and completing the appropriate agreements, all of which are located on the Agreements and Forms page, and ensuring that the Visitor’s activities at Pitt remain in scope with their intended purpose.
The initial term for any visit should not exceed one year. An extension to the visit may be approved by the Dean or his or her designee for an additional term of one year.
Visits will be counted as continuous from the first day on campus to the last day on campus, even when a Visitor is not on campus for the entire period. Accordingly, these types of visits will be categorized as Category 2 or 3 visits if they exceed 14 days, and those procedures should be followed.
